How to sync Kaia meeting recordings to a CRM

Objective

The purpose of this article is to provide direction to Outreach Admins in configuring the CRM to sync the Kaia recordings and Kaia summaries to a CRM.

Applies To

  • Outreach Admins

Procedure

  1. Access the Outreach Platform.
  2. Click Administration > Expand Integrations > click on CRM.
  3. Select the "Event" object and then click on "Add mapping"
  4. Add the field "Kaia recording URL" and map it to an event CRM field.

Adding Kaia meeting summaries

  1. Access the Outreach Platform.
  2. Go to "Administration" page
  3. Click on "CRM
  4. Select the "Event" object and then click on "Add mapping"
  5. Add the field "Kaia Recording Summary" and map it to the CRM event Description field.
  6. If you previously had Calendar Event sync configured, be sure to remap the original "Description" field mapping to a new custom Salesforce or Dynamics field. 

*Note: This is because Salesforce and Dynamics do not allow custom fields on the Activity object larger than 255 characters. The Description field is the only field that will consistently fit Kaia meeting summaries.
