Setting up Outreach Kaia for Zoom Post-recording Experience

Objective

Learn how to set up the Outreach Kaia post-recording meeting experience for use with the Zoom meeting platform.

Before You Begin

Some Outreach views and options require admin-level governance permissions. If the options outlined here are unavailable, contact the Org's Outreach Administrator as applicable. For more information regarding governance profile settings, refer to our Governance Profile Settings Overview.

Procedure

Administrator Configuration Steps

Set Zoom Settings

  1. Log in to Zoom as an Admin.
  2. Click Settings General.
  3. Enable Cloud Recording and toggle on Zoom Meeting.
  4. Navigate to Settings > Recording.
  5. Toggle on Create audio transcript.
  6. Click Save.

Set your Outreach Settings

  1. Log in to Outreach as an Admin.
  2. Click Administration > Tools > Kaia. The General tab opens by default.
  3. In the Zoom tile, click Connect.

  4. Select Admin deployment + user setup deployment method and click Connect.

  5. Follow the procedure to assign Kaia licenses to users.

Notify licensed users that they can now complete the Kaia User Configuration steps below.

User Configuration Steps in Outreach

  1. Log in to Outreach as a User.
  2. Hover over the user initials in the bottom-left corner and select Personal Settings.
  3. Navigate to Meetings and click Kaia

  4. Under Web Conferencing Apps, locate Zoom and click Connect

    1. If Zoom is not shown as an option - the Admin setup of Kaia for Zoom has not been completed.
    2. If the Connect button is missing - Zoom was set up using the Admin Deployment option, and the Kaia user configuration step was completed automatically.
  5. Sing in into your Zoom account to complete the set-up.
  6. The page will now reflect the updated connection status 

Removing Kaia Post-recording experience

  1. Log in to Outreach.
  2. Click Administration > Tools > Kaia. The General tab opens by default.
  3. In the Zoom tile, click on the three dots menu and select Disconnect.
