Share and Manage Outreach Kaia Recording via Viewing Link

Objective

Learn how to generate and share an Outreach Kaia recording link. These links are created by Outreach users in the Outreach platform, to be shared with external prospects and colleagues (i.e., without the need for them to have access to the Outreach instance).

Before You Begin

If the share icon is not visible, ask one of your Outreach Admins to give permission for users to download Kaia Recordings.

Procedure

  1. Access the Outreach Platform.
  2. Click Kaia.
  3. Select a recording.
  4. Click Share Create new link.
  5. Configure the following fields as required
    • Start time
    • End time
    • Link expiration
    • Allow visibility of meeting summary
  6. Select the appropriate share permissions.
    • Anyone
    • Anyone who verifies
    • Restricted 
  7. Click Save & copy link.

Managing existing meeting links

  1. Access the Outreach Platform.
  2. Click Kaia.
  3. Select a recording.
  4. Click Share > Manage existing links.
  5. Click Edit to adjust the following
    • Link name
    • Link expiration

Deactivate a meeting link

  1. Access the Outreach Platform.
  2. Click Kaia.
  3. Select a recording.
  4. Click Share > Manage existing links.
  5. Click More actions.
  6. Select Deactivate link.

Link recipients should be able to seamlessly access the recording from the link until the availability duration you set has expired. Viewers are not required to be able to log into Outreach when the link is created and shared in this manner, and anyone with the link will be able to view the recording until the access duration expires.

Securing External Kaia Recording Access 

If you want to require additional external security or viewing restrictions, we recommend downloading Kaia your recording and then adding it to your org's cloud storage service (e.g., Google Drive), from which you can add specific individualized or password-based access.
